The All American Girls Professional Baseball League Players Association Inc., referred to in this policy as “AAGPBL,” welcomes members of the press and recognizes the important role of journalists, photographers, broadcasters, historians, and other media professionals in preserving and sharing the history and continuing legacy of the All American Girls Professional Baseball League.

This policy establishes expectations for press and media representatives attending events organized, hosted, sponsored, or officially supported by AAGPBL. Its purpose is to provide reasonable media access while protecting the privacy, safety, comfort, and dignity of former players, their families, guests, participants, volunteers, and event attendees.

Who This Policy Applies To

This policy applies to all individuals attending an AAGPBL event for the purpose of gathering, recording, photographing, publishing, broadcasting, or distributing news or media content, including:

  • Reporters and journalists
  • Photographers and videographers
  • Television and radio representatives
  • Documentary and film crews
  • Podcast representatives
  • Freelance journalists
  • Authors and researchers
  • Online publications and recognized digital media outlets
  • Other individuals approved by AAGPBL as media representatives

For purposes of this policy, all individuals granted media access under this Section shall be
referred to as "media representatives." Social media creators, independent content creators, influencers, documentary filmmakers, and individuals representing commercial organizations may be considered for media access on a case-by-case basis, in AAGPBL's sole discretion. If such access is granted, those individuals shall also be deemed media representatives and shall be subject to this Policy in its entirety.

Media Credentials

AAGPBL may require members of the press to obtain media credentials before receiving access to designated media areas, interview opportunities, press conferences, ceremonies, or other restricted portions of an event.

Media representatives may be asked to provide:

  • Their full name and contact information
  • The name of the media organization or publication they represent
  • Their position or assignment
  • The purpose and expected scope of the coverage
  • A letter of assignment or confirmation from an editor, producer, or publisher
  • A description of the equipment they intend to use
  • Any requested interviews or special access needs

Freelance journalists may be asked to provide a letter of assignment or examples of previously published work.

Submitting a credential request does not guarantee approval, access to every portion of an event, or an interview with any particular person. AAGPBL may limit the number of credentials issued based on available space, safety requirements, event schedules, and the nature of the event.

Credentials are issued to specific individuals, may not be transferred, and must be displayed when requested.

Check In and Event Access

Credentialed media representatives must check in at the designated media or registration area upon arrival.

Media representatives must:

  • Wear or display their credential as directed
  • Remain within approved public or media areas
  • Follow instructions from AAGPBL representatives, event staff, venue personnel, and security
  • Avoid blocking entrances, aisles, emergency exits, audience views, or event activities
  • Use only approved locations for cameras, tripods, lighting, cables, microphones, and other equipment
  • Leave restricted areas when directed

A media credential does not provide unrestricted access to private receptions, dressing rooms, preparation areas, offices, medical areas, transportation areas, hotel rooms, private meals, or other nonpublic locations.

Some portions of an event may be designated as closed to the press or may have separate photography, recording, or interview restrictions.

Interviews

Interview requests should be submitted to the designated AAGPBL media contact whenever possible. AAGPBL may help coordinate interviews based on participant availability, event schedules, health considerations, and personal preferences.

All interviews are voluntary. Former players, family members, guests, staff members, volunteers, and other participants may decline an interview or end an interview at any time.

Media representatives may not:

  • Interrupt ceremonies, presentations, meals, reunions, or private conversations to request an interview
  • Enter private or restricted areas to approach a potential interview subject
  • Record a conversation without the knowledge of the individuals involved
  • Pressure or repeatedly approach someone who has declined an interview
  • Obtain or distribute private contact information without permission

Media representatives should clearly identify themselves and their organization before beginning an interview or recording.

Any agreement that a statement is off the record, on background, or subject to an embargo should be clearly established before the information is provided.

AAGPBL does not require editorial review or approval of independent news coverage before publication. Media representatives are encouraged to contact AAGPBL with factual questions or requests to verify names, dates, historical information, or organizational details.

Former Players and Honored Guests

Many AAGPBL events include former players, family members, and honored guests whose comfort and wellbeing are especially important.

Media representatives must respect all instructions concerning:

  • Interview length
  • Rest periods
  • Mobility or accessibility needs
  • Health related limitations
  • Personal boundaries
  • Restrictions requested by the individual or the individual’s representative

AAGPBL may limit or discontinue access to a former player or honored guest when necessary to protect that person’s health, comfort, privacy, or participation in the event.

An invitation to photograph or interview one participant does not provide permission to photograph, record, or interview other individuals in a private setting.

Minors

Some AAGPBL events may include youth baseball players, students, or other minors.

Formal interviews with a minor must be approved by the minor’s parent, legal guardian, coach, team representative, or another authorized adult, as appropriate.

Media representatives must follow all posted or communicated restrictions concerning the photography, recording, identification, or interviewing of minors. A minor should not be separated from their parent, guardian, coach, or authorized adult for an interview.

Media representatives should not publish a minor’s private contact information, home address, school schedule, travel arrangements, medical information, or other information that could create a safety or privacy concern.

Photography and Video Recording

Photography and video recording may be permitted in public event areas unless otherwise posted or announced.

AAGPBL may establish reasonable restrictions concerning:

  • Flash photography
  • Lighting equipment
  • Camera placement
  • Tripods, monopods, and large equipment
  • Audio recording
  • Movement during ceremonies
  • Photography during sensitive or private moments
  • Recording in designated restricted areas

Media representatives must not obstruct attendees, interfere with the event, create a safety hazard, or disrupt a ceremony or presentation.

The use of drones or other unmanned recording devices is prohibited unless AAGPBL and the venue have provided advance written authorization and all legal, insurance, and safety requirements have been satisfied.

Live Broadcasting and Streaming

A standard media credential does not automatically authorize live television coverage, live audio coverage, live streaming, continuous video transmission, or the broadcast of an entire ceremony, program, game, presentation, or performance.

Advance written authorization may be required for:

  • Live streaming
  • Live television or radio broadcasts
  • Continuous recording of an event
  • Documentary production
  • Commercial filming
  • Use of extensive lighting, audio, or production equipment
  • Recording that could interfere with contractual media, venue, or intellectual property rights

Media representatives seeking this type of access should contact AAGPBL before the event.

Editorial and Commercial Use

News photographs, interviews, and recordings created by credentialed media may generally be used for legitimate editorial reporting related to AAGPBL, its history, its events, or its activities.

A media credential does not grant permission to use AAGPBL content, names, logos, player images, recordings, or event footage for:

  • Advertising or product promotion
  • Merchandise
  • Fundraising by an unrelated organization
  • Commercial endorsements
  • Sponsorship materials
  • Films or documentaries outside the approved assignment
  • Stock photography or commercial image licensing
  • Political campaign materials
  • Any use that falsely suggests AAGPBL endorsement, approval, or partnership

Commercial, promotional, documentary, or other noneditorial uses require separate written authorization from AAGPBL and may require permission from the individuals depicted. Media representatives may not sell, license, assign, transfer, distribute, or otherwise authorize any third party to use photographs, videos, audio recordings, interviews, or other content obtained through AAGBPL media access for any commercial, promotional, documentary, archival, or other non-editorial purpose without AAGPBL’s prior written authorization.

Historical Materials and Archival Content

Media access to an event does not include permission to reproduce or distribute historical photographs, documents, recordings, exhibits, memorabilia, oral histories, or other archival materials displayed or provided during the event.

These materials may be owned by AAGPBL, an individual player, a family member, a museum, an archive, a photographer, a publisher, or another rights holder.

Permission to use archival materials must be obtained separately from the applicable rights holder. AAGPBL cannot grant rights to materials it does not own or control.

Names, Logos, and Trademarks

The names, logos, marks, and other identifying materials associated with AAGPBL may be protected intellectual property.

Media organizations may use the AAGPBL name in accurate editorial reporting. Use of an AAGPBL logo or mark in advertising, merchandise, fundraising, sponsorship materials, or other commercial content requires advance written authorization.

Media coverage must not state or imply that AAGPBL endorses a media organization, product, political position, commercial service, or outside event unless AAGPBL has provided written confirmation of that relationship.

No third party may reproduce, distribute, license, sublicense, publicly display, publicly perform, modify, create derivative works from, or otherwise use AAGPBL's trademarks, logos, names, branding, or other protected intellectual property except as expressly authorized in writing by AAGPBL.

Altered and Artificially Generated Content

Photographs, audio, video, and interview materials obtained through media access may not be manipulated or presented in a deceptive manner.

Media representatives may not use a participant’s image, voice, or likeness to create an unauthorized synthetic voice, digital replica, deceptive artificial intelligence generated depiction, or fabricated statement.

Routine editing for length, clarity, lighting, sound quality, or publication format is permitted when it does not materially misrepresent the person, event, or statement.

Privacy and Respectful Conduct

Media representatives are expected to act professionally and respectfully.

The following conduct is prohibited:

  • Harassment, intimidation, discrimination, or threatening behavior
  • Secretly recording private conversations
  • Entering closed or restricted areas without authorization
  • Ignoring a request to stop an interview or recording
  • Using credentials primarily to seek autographs, personal photographs, memorabilia, or private access
  • Interfering with event operations or the experience of attendees
  • Publishing private information obtained through accidental access to documents, conversations, registration materials, or event systems
  • Misrepresenting one’s identity, employer, assignment, or intended use of the material

AAGPBL expects media coverage to recognize the dignity and personal autonomy of former players, families, youth participants, and other event attendees.

Safety and Emergency Procedures

Media representatives must follow all venue rules, security procedures, health requirements, emergency instructions, and evacuation directions.

During an emergency, media representatives may not enter restricted areas, interfere with emergency personnel, obstruct evacuation routes, or delay emergency operations for the purpose of obtaining photographs, recordings, or interviews.

AAGPBL may temporarily suspend media activities when necessary to protect participants or respond to a safety concern.

Accessibility Requests

AAGPBL seeks to provide reasonable access for credentialed media representatives with disabilities.

Requests for accessibility accommodations should be submitted to the AAGPBL media contact as early as reasonably possible. AAGPBL will work with the event venue and the requesting individual to address the request when practicable.

Credential Denial or Revocation

AAGPBL may deny, limit, suspend, or revoke media credentials when a media representative:

  • Violates this policy
  • Provides false or misleading credential information
  • Transfers or misuses a credential
  • Enters a restricted area without authorization
  • Creates a safety risk
  • Disrupts an event
  • Harasses a participant or attendee
  • Fails to follow reasonable instructions from event staff
  • Uses media access for an unauthorized commercial or personal purpose

When circumstances permit, AAGPBL may provide a warning and an opportunity to correct the issue before revoking a credential. Immediate removal may occur when conduct presents a safety concern, serious privacy violation, substantial disruption, or risk to an event participant.

Credential decisions relate only to access provided by AAGPBL and are not intended to control lawful reporting conducted from areas open to the general public.

Changes to the Policy

AAGPBL may update this policy or establish additional event specific requirements when necessary. The version published on the AAGPBL website or distributed for a particular event will control.

Event specific rules may address credential deadlines, photography locations, press conference schedules, interview availability, equipment restrictions, venue requirements, and other operational matters.

By accepting an AAGPBL media credential or entering an event area or a restricted media area, a media representative acknowledges that they have reviewed and agree to follow this policy and any additional event specific instructions.
